Terms & Conditions and Institute Policies

This document is in two parts: Part A — Terms & Conditions sets out the legal terms of enrollment at Vedic Classes, and Part B — Institute Policies sets out the day-to-day rules on fees, attendance, conduct and related matters. By enrolling a student, the parent/guardian agrees to both parts.

Part A

Terms & Conditions

The legal terms governing enrollment and use of Vedic Classes' academic services.

A1Definitions

In this document, unless the context requires otherwise:

  1. "Institute" / "Vedic Classes" / "We" / "Us" means Vedic Classes, operating from its Adampur (Manik Sarkar) and Tilkamanjhi campuses in Bhagalpur.
  2. "Student" means any individual enrolled for coaching services with the Institute.
  3. "Parent/Guardian" / "You" means the parent or legal guardian who enrolls a Student and is responsible for fees and communication on the Student's behalf.
  4. "Academic Session" means the annual teaching cycle for which admission is taken (currently Academic Year 2026–27).
  5. "Services" means the coaching, study material, tests and related academic support provided by the Institute for Classes 5–10, ICSE & CBSE boards.
A2Acceptance of Terms
  1. By submitting an admission form, making a fee payment, or otherwise availing the Institute's Services, the Parent/Guardian confirms that they have read, understood, and agree to be bound by these Terms & Conditions and the Institute Policies in Part B.
  2. These terms apply for the duration of the Student's enrollment and continue to apply to any dues, obligations or disputes arising from the period of enrollment even after it ends.
  3. If the Parent/Guardian does not agree with any part of these terms, they should not proceed with admission and may raise the matter with the campus office beforehand.
A3Nature of Services
  1. Vedic Classes provides supplementary academic coaching aligned with the ICSE and CBSE school curricula for Classes 5–10. It is not affiliated with, and does not replace, any school board or institution.
  2. While the Institute takes reasonable care to deliver quality instruction, it does not guarantee any specific examination result, grade, or academic outcome, as this depends on multiple factors including the Student's own effort and consistency.
  3. Batch timings, faculty assignment and teaching schedules are determined by the Institute and may be revised as operationally required, with reasonable notice to affected students.
A4Intellectual Property
  1. All study material, notes, worksheets, question banks, test papers and content created or compiled by Vedic Classes ("Material") is the intellectual property of the Institute.
  2. Material is licensed to the Student solely for personal academic use during the period of enrollment and may not be copied, photographed for redistribution, published, resold, or shared with any person outside the Student's own household without the Institute's prior written consent.
  3. The Vedic Classes name and logo may not be used by any third party for commercial or promotional purposes without written permission.
A5Limitation of Liability
  1. The Institute is not liable for any loss, theft of, or damage to personal belongings brought onto its campuses by a Student or Parent/Guardian.
  2. Except where caused by the Institute's own gross negligence, Vedic Classes is not liable for any indirect, incidental, or consequential loss arising from a Student's enrollment, including loss related to academic performance or examination outcomes.
  3. The Institute's total liability in connection with the Services, where legally applicable, shall not exceed the fee actually paid by the Parent/Guardian for the then-current fee cycle.
A6Suspension & Termination
  1. The Institute may suspend a Student's access to classes where fees remain unpaid beyond a reasonable grace period, subject to prior notice to the Parent/Guardian.
  2. The Institute may terminate a Student's enrollment, without refund, in cases of serious or repeated breach of the Code of Conduct (Section B5), including bullying, harassment, or damage to Institute property.
  3. A Parent/Guardian may voluntarily withdraw a Student in accordance with the Withdrawal Policy (Section B3).
A7Amendments

The Institute may revise these Terms & Conditions or any Policy in Part B from time to time to reflect operational or regulatory changes. The revised version will be published on this page with an updated "Last updated" date, and will apply from the date of publication. Continued enrollment after such publication constitutes acceptance of the revised terms.

A8Severability

If any clause of these Terms & Conditions is found to be invalid or unenforceable under applicable law, that clause shall be severed, and the remaining clauses shall continue in full force and effect.

A9Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of India. Any dispute arising out of or in connection with them shall be subject to the exclusive jurisdiction of the courts at Bhagalpur, Bihar.

Part B

Institute Policies

Operational rules covering admission, fees, attendance, conduct and campus life.

B1Admission Policy
  • Admission is open to students of Classes 5 to 10, ICSE & CBSE boards, at both the Adampur and Tilkamanjhi campuses.
  • A seat is confirmed only after the admission form is submitted and the applicable admission/tuition fee is received.
  • Parents/guardians must provide accurate personal, academic and contact information at admission, and update the office promptly of any changes.
  • An admitted seat is personal to the Student and is non-transferable to another individual.
  • Admission may be declined or discontinued where information provided is found to be false or misleading.
B2Fee & Payment Policy

Fees may be paid on a monthly, quarterly, half-yearly or annual cycle, as chosen at the time of admission for the Academic Session.

  • Fees must be paid in advance, on or before the due date communicated for each cycle.
  • A late fee may apply to payments received after the due date, at the Institute's discretion.
  • Fees may be paid by cash, UPI, or any other mode made available by the office; an official receipt is issued for every payment.
  • Fee once paid is not transferable to another student, sibling, or academic session.
  • Continued non-payment beyond a reasonable grace period may result in suspension of classes until dues are cleared, per Section A6.
Note: Exact fee amounts, cycle due-dates and mode-specific instructions are communicated separately by the office at admission.
B3Refund & Withdrawal Policy
  • Fees paid are generally non-refundable, including in cases of voluntary withdrawal, irregular attendance, or discontinuation partway through a paid cycle.
  • Parents/guardians wishing to withdraw a Student must inform the campus office in writing (or in person) in advance.
  • Any exception to the no-refund policy is granted solely at the discretion of Vedic Classes management, on a case-by-case basis.
  • Re-admission after withdrawal is subject to seat availability and the fees applicable at the time of re-joining.
B4Attendance Policy
  • Regular attendance is strongly encouraged, as teaching at Vedic Classes follows a sequential, school-aligned pattern.
  • Parents/guardians should inform the faculty or office in advance in case of a planned absence.
  • Persistent unexplained absence may be flagged to parents and can affect a Student's readiness for periodic tests.
  • Make-up or doubt-clearing sessions for missed classes may be offered at the faculty's discretion, subject to batch schedules.
B5Code of Conduct

All students are expected to maintain discipline and treat teachers, staff and fellow students with courtesy and respect.

  • Bullying, ragging, or any form of harassment on campus will not be tolerated and may result in disciplinary action, including suspension or termination under Section A6.
  • Mobile phones and other personal electronic gadgets should not be used during class hours unless specifically permitted by faculty.
  • Students are expected to take proper care of Institute property, furniture and study material provided to them.
  • Repeated indiscipline may lead to a formal warning to parents, and, in serious cases, discontinuation of admission without refund.
B6Tests & Progress Reports
  • Periodic tests and doubt-clearing assessments are conducted to track each Student's understanding of concepts covered.
  • Performance and attendance updates may be shared with parents/guardians from time to time via call, SMS or WhatsApp.
  • Parents are encouraged to contact faculty or the office directly for a detailed discussion of their child's progress.
B7Safety Policy
  • The Institute takes reasonable care for the safety of students while on campus during class hours.
  • Parents/guardians are responsible for their child's drop-off and pick-up at the campus, as Vedic Classes does not operate transport services.
  • Any medical condition or special requirement of a Student should be disclosed to the office at the time of admission.
B8Photography & Media Policy
  • Photographs or videos of students may occasionally be taken during classes, events or activities for use in the Institute's gallery, website or promotional material.
  • Parents/guardians who do not wish their child to be photographed for such use may inform the campus office in writing, and this preference will be respected.
B9Communication Policy
  • Official communication regarding fees, attendance, tests and notices is sent via phone call, SMS, WhatsApp, or notices displayed on campus.
  • Parents/guardians should ensure the contact number on record is active and updated at all times.
  • For any query, parents may contact either campus directly using the details in the section below.
B10Privacy Policy
  • Personal information collected at admission (Student and Parent/Guardian details, contact numbers, academic records) is used solely for academic and administrative purposes.
  • This information is not sold or shared with unrelated third parties, except where required by law or a competent authority.
